2. Information We Collect
We collect several categories of personal information, organized by source and purpose.
2.1 Information You Provide Directly
When you contact us, request a quote, schedule service, or use our booking widget, we collect:
- Identifiers: name, email address, phone number, property address
- Service request details: type of damage, description of incident, photos you submit, urgency level, preferred appointment time
- Communications: texts, voicemails, emails, and other correspondence with our team
- Payment information: check details, wire transfer details, or ACH account information (we do not accept credit card payments)
2.2 Information Collected at the Jobsite
During the course of providing restoration services, we may collect:
- Property condition data: moisture readings, thermal imaging results, third-party hygienist reports and clearance documentation when provided by clients
- Photographs and video: before/during/after documentation of the affected areas, used for insurance claims, internal quality control, and marketing as described in Section 6
- Insurance claim information: carrier name, policy number, adjuster contact, claim number, scope of work, and other documentation we receive on your behalf or share with your insurer
2.3 Information Collected Automatically Online
When you visit the Site, we automatically collect:
- Device and browser data: IP address, browser type and version, operating system, device identifiers, screen resolution
- Usage data: pages visited, time spent on each page, referring URL, scroll depth, clicks
- Approximate location: city and region derived from your IP address (used to display local emergency status on our homepage)

2.4 Sensitive Personal Information
We do not knowingly collect sensitive personal information as defined by CPRA (Social Security numbers, government IDs, precise geolocation, racial or ethnic origin, religious beliefs, union membership, genetic data, biometric data, health information beyond what’s necessary for service, sex life, sexual orientation).
If sensitive PI is incidentally collected (for example, photos of mail or documents in your home during restoration), we use it solely to complete the requested service and do not use it for inference or profiling.
3. How We Use Your Information
We use the information we collect for the following business purposes:
- Respond to inquiries and provide quotes
- Schedule and perform restoration services
- Communicate about ongoing projects (status updates, change orders, completion reports)
- Process payments and manage accounts
- Communicate with your insurance carrier and provide documentation to support your claim
- Document work for warranty, quality control, and dispute resolution
- Comply with legal obligations (CSLB recordkeeping, tax filings, lien rights, mechanic’s lien preliminary notices under California Civil Code §8200+)
- Send follow-up communications and service reminders
- Send marketing communications (with your consent — see Section 7)
- Improve our Site, services, and customer experience
- Detect and prevent fraud, abuse, and security threats
- Defend our legal rights in case of dispute
4. SMS and Text Message Consent
When you provide your phone number to us, you consent to receive calls and text messages from Instant Restoration regarding your service request, appointment confirmations, and follow-ups.
Standard message and data rates may apply. You can opt out of marketing text messages at any time by replying STOP. Transactional messages related to your active service (appointment confirmations, technician arrival notifications) cannot be opted out of while an active service is in progress.
We comply with the Telephone Consumer Protection Act (TCPA) and California’s text messaging regulations.
5. Third Parties We Share Information With
We do not sell your personal information. We share information only with the following categories of third parties:
5.1 Service Providers (Contractors)
- Payment processors: for check, wire, and ACH processing
- Analytics providers: Google Analytics 4 (anonymized usage data)
- Advertising providers: Google Ads (for conversion tracking and remarketing, when our ad campaigns are active)
- Email and SMS providers: for sending appointment confirmations and follow-ups
- Cloud and hosting providers: for website operation and data storage
These providers are contractually obligated to use your information only for the purpose of providing services to us and to protect your information in accordance with this policy.
5.2 Business Partners and Insurance Carriers
- Your insurance carrier and adjuster: when you authorize us to support your claim, we share scope-of-work documents, photos, moisture readings, invoices, and other materials needed to document the loss. As a licensed restoration contractor — not a public adjuster — we provide documentation to support your claim; we do not adjust, negotiate, or settle it on your behalf.
- Subcontractors: in rare cases, we engage licensed subcontractors for specialized work; they receive only the information necessary to perform that work
5.3 Legal and Regulatory Disclosures
We may disclose information if required to comply with:
- A subpoena, court order, or legal process
- A request from law enforcement
- A regulatory investigation (including California Contractors State License Board)
- The defense of legal claims
- Protection of safety, rights, or property
5.4 Business Transfers
If Instant Restoration is involved in a merger, acquisition, asset sale, or bankruptcy, your information may be transferred as part of that transaction. We will notify you and provide an opportunity to opt out where required by law.
5.5 With Your Consent
We may share information for other purposes with your separate, explicit consent.
6. Use of Photos and Videos for Marketing
During and after a project, we take before, during, and after photos and video of the work. This is a standard part of restoration and is required for insurance documentation and our own quality control.
We may also use these images to show the quality of our work — on our website, social media, and advertising. When we do, we protect your privacy:
- We use images of the property and the work itself (the damage, the process, and the finished result), and we take reasonable steps to remove or avoid anything that identifies you — faces, house numbers, full addresses, vehicles, mail, and personal belongings.
- We will not publish your name, a recognizable image of you, or your exact address in marketing without your permission.
- If you’d prefer we not use any images of your project for marketing, just tell us — by phone, email, or in writing — and we’ll honor it. This never affects your price or the quality of your service.
The photos and video we capture remain our property. You will not be entitled to any payment, royalty, or other compensation for our use of them, and featuring any project in our marketing is always at our discretion. Images used solely for insurance claims and internal quality control are part of the service and are handled under the rest of this policy.
7. Marketing Communications
We may send marketing emails or texts about restoration services, seasonal tips, and special offers. You can opt out at any time by:

Opting out of marketing does not affect transactional communications about your active service.
8. How Long We Retain Your Information
We retain your information for as long as necessary to fulfill the purposes outlined in this policy and to comply with our legal obligations:

11. Children’s Privacy

We comply with the Children’s Online Privacy Protection Act (COPPA).
12. Do Not Track Signals
Some browsers offer a “Do Not Track” (DNT) signal. Because there is no consistent industry standard for DNT, we do not currently respond to DNT signals. However, we honor Global Privacy Control (GPC) signals as described in Section 10.7.
